Every week, repetitive work costs you hours.

Repetitive work slows your business down.
With AI, we can automate tasks such as quotes, documents, follow-ups, reports, appointments and internal admin, building tailor-made automations that connect to the tools you already use.

What is AI automation?

AI automation moves a piece of work forward on its own, using artificial intelligence at the steps where something needs to be understood. It reads what comes in, interprets the information, retrieves the data it needs and decides what to do next.

So it doesn’t just follow fixed rules: it can adapt when requests, documents or situations change. The repetitive work keeps moving, while the important decisions stay with you.

  1. Something happens

A message, a document, a deadline, new data or a change in one of your tools.

  2. AI understands and gets to work

It understands the context, uses the information it needs and moves the process forward on its own, without you having to guide it at every step.

  3. You review

The result arrives ready for you to review. If something isn’t clear, the automation stops and flags it. The important decisions stay with you.

With AI, you can automate far more work.
Here’s why.

A request comes in with a document attached. AI reads it, pulls out the data that matters and matches it with the data in your software, flagging anything that doesn’t add up. The work arrives ready: a person reviews it and confirms.

A chat tool waits for your request.
Classic automation follows rules.
AI automation understands and moves the work forward.

The same request, written in the sender’s own way, reaches a chat tool, a classic automation and an AI automation.

A chat tool like ChatGPT is useful, but it doesn’t know your business and can’t access your software. You have to guide it, one step at a time.

Classic automation: Works fine as long as everything always arrives in the same format. If anything changes, it stops and the work lands back on your desk.

AI automation: Understands what comes in, takes the data it needs from your software and moves the work forward until it’s ready for your review.

What you can automate

What your business can automate. Start with what you do every day.

Sales, email, documents, invoices, appointments, reporting and operations: almost every department has steps that repeat themselves. Here are some concrete examples of what AI automation can do.

These aren’t standard solutions: every automation is built around how your business actually works.

Where would you like to start?

Starting with

Sales and quotes

  • Drafting quotes from customer requests

Items, quantities and terms already in the draft.

    Today
A request comes in by email or through a form. You have to work out what the customer wants, look up prices, items and terms, then put the quote together.
    With automation
AI reads the request, identifies the products or services needed, pulls the data from your company sources and prepares a draft quote already filled in with descriptions, quantities and terms.
    You decide
You check prices and content, make changes if needed and send it.

    See the case study

    Tools, for example

email or website formprice listbusiness software

Already built We’ve already built a base for AI quotes, filled in from your price list: Digitam Quote.

    Start here
  • Adding new contacts to your business software

No one has to copy a new contact’s details by hand.

    Today
A new contact comes in and someone has to copy their details, create the opportunity and work out which salesperson should handle it.
    With automation
It collects the information from the request, creates the contact and the opportunity in your business software and assigns them automatically to the right person, keeping the original context too.
    You decide
The salesperson finds everything ready and decides how to proceed.

    Tools, for example

    website formbusiness softwareemail

    Start here
  • Following up on unanswered quotes

No more keeping track of who hasn’t replied.

    Today
After sending a quote, you have to remember which customers haven’t replied, when to get back in touch and what to say.
    With automation
It checks which quotes are still open and, after the set time, prepares the follow-up using the customer’s details and the context of the quote you sent.
    You decide
You approve the message or handle the important deals yourself.

    Tools, for example

    CRM or business softwareemail

    Start here
  • Starting work as soon as an order is confirmed

Once an order is confirmed, the team knows straight away what to do.

    Today
When a customer confirms, someone has to update the job, let the team know and set up all the next tasks.
    With automation
The confirmation automatically updates the job’s status, creates the planned tasks, links the documents and notifies the people who need to start work.
    You decide
You only step in for special cases.

    Tools, for example

    business softwareshared foldersemail or chat

Email and customer requests

  • Routing incoming requests

No one has to read everything just to sort it.

    Today
Emails and messages all arrive together. Someone has to read them, figure out what they’re about and decide who should deal with them.
    With automation
AI interprets the content, recognises the customer, topic and priority, and automatically routes the request to the right person or department, with the context they need.
    You decide
Your team steps in already knowing what to handle.

    Tools, for example

    Outlook or GmailWhatsApp or chatCRM

Already built We’ve already built a base for the AI assistant that also routes requests by phone, on WhatsApp and in chat: Digitam Voice.

    Start here
  • Drafting replies to customers

Every reply starts from your data and the way you write.

    Today
You read the request, look up the information you need and write a reply from scratch every time.
    With automation
It understands what the customer is asking, gathers the information from your company sources and drafts a reply that matches your data and your style.
    You decide
You check it, edit if needed and send.

  • Flagging complaints and urgent requests

A complaint no longer gets lost among other requests.

    Today
An important request can sit among dozens of routine messages until someone happens to notice it.
    With automation
AI recognises complaints, urgent matters, deadlines and priority customers, and immediately alerts the person who needs to act.
    You decide
You see straight away what can’t wait.

  • Opening new cases from emails

Details and attachments go straight into your business software.

    Today
After each request, you have to open your business software, create the case, copy the details, save the attachments and assign the work.
    With automation
It creates the case automatically, links the customer and documents, updates the data needed and triggers the next step.
    You decide
You only check what needs checking.

    Tools, for example

    emailbusiness softwareshared folders

    Start here

Documents and admin

  • Extracting data from documents

PDFs, forms and scans become ready-to-use data.

    Today
PDFs, forms or scans come in. You open the document, find the important details and type them into the right program by hand.
    With automation
AI recognises the document, extracts the information needed and prepares the data directly in your business software, database or workflow.
    You decide
You only check data that is uncertain or incomplete.

    Tools, for example

PDFs and scansbusiness software or database

  • Filling in contracts and forms

Customer, dates and amounts already in place.

    Today
To prepare a document, you gather the customer, addresses, dates, amounts and other details from several sources every time.
    With automation
It takes the data already available, picks the right template and generates the document with the fields already filled in.
    You decide
You check the result before it’s signed or sent.

    Tools, for example

    document templatesCRM or business softwareemail

  • Checking for incomplete cases

You know what’s missing without opening every case.

    Today
To find out if anything is missing, you have to open every case and check documents, signatures and details one by one.
    With automation
It compares what’s there with what should be there and immediately flags missing documents, signatures or data.
    You decide
You only deal with what really needs attention.

    Tools, for example

    business softwareshared foldersemail

    Start here
  • Filing documents

Files renamed and filed without you touching them.

    Today
Files and attachments have to be identified, renamed and saved by hand in the right folder or case.
    With automation
AI recognises the document type, customer and reference, gives the file a consistent name and stores it automatically where it belongs.
    You decide
You only check the ambiguous cases.

    Tools, for example

Invoicing and accounting

  • Processing supplier invoices

Supplier, amounts, VAT and due date already filled in.

    Today
You open the invoice and manually enter the supplier, date, number, amounts, VAT and due date into your accounting software.
    With automation
AI reads the invoice, extracts the information needed and prepares the entry according to your chart of accounts.
    You decide

Appointments and follow-ups

  • Booking appointments

The customer picks a time and your calendar updates itself.

    Today
“Tuesday?” “Not Tuesday. Thursday?” Several messages just to find a free slot.
    With automation
It checks your calendar and automatically suggests available times. When the customer chooses one, it books the appointment and updates the calendar.
    You decide
You only step in for exceptions or special appointments.

    Tools, for example

    calendaremail

    Start here
  • Sending reminders to customers

Customers know where to go and what to bring.

    You decide
You choose the wording and timing; then the reminders go out on their own.

    Tools, for example

    calendaremail or SMS

  • Writing up meeting minutes

Who does what, and by when, is already written down.

    Today
After a meeting, you have to piece together the decisions, write the summary and remember who has to do what.
    With automation
From the transcript or notes, AI drafts the minutes and picks out decisions, tasks, owners and deadlines.
    You decide
You check the result before sharing it.

    Tools, for example

of Swiss companies find the administrative burden high or fairly high. SECO, 2022

Nearly 9 in 10

Swiss companies have fewer than ten people. The office work is done by the people who do everything else too. University of St.Gallen and OBT, 2026

How we work

The process we follow on every project.

From the free consultation to an automation that grows with your business. Before you sign, you know what we’ll build and what it costs.

  1. Free consultation

We start with how you work today

In 30 minutes we pinpoint the tasks that cost you the most time and work out which ones can really be automated.

By the end, you know where it makes sense to start and what is better left to people.

    Book your free consultation
  2. First the numbers, then the quote

We compare what that work costs you today with what it would cost to automate it. If the project doesn’t pay off, we tell you straight away.

You know upfront what it costs to build and, where applicable, what it costs to maintain each month.

  3. We build the first version

We connect the automation to the tools you already use and build it around your real cases. That makes it 100% tailored to you.

Before going further, you see a first working version on your own work.

  4. We test it on real work

During a trial period, you use it in your day-to-day work. Together, we see where it gets things wrong, what’s missing and which cases we hadn’t foreseen.

We refine it on real cases until it works the way your business needs.

  5. It keeps growing with you

The automation becomes part of everyday work, but it doesn’t stand still. We can change it, add new features and adapt it as your processes change.

What we build today can grow along with the way you work.

Your data

Your data stays yours. So does the final say.

It prepares. It doesn’t decide.

The automation prepares and flags. When money, customers or employees are involved, a person decides.

At one client: 42 emails in one morning, 5 handed to a person.

Before we start, you know where your data goes.

We tell you which data the automation uses, which model processes it, where it’s stored and for how long. All set out in writing, in line with the Swiss Federal Act on Data Protection (FADP).

When a person is needed, it brings one in.

If it finds something unusual or outside the rules, it doesn’t decide on its own: it flags the case and hands control to the right person.

Frequently asked questions

What people ask us before we start.

01Does AI automation make sense for a small business?

Yes, especially when there are tasks that come back every week and eat up time. You don’t need to automate everything: you start with one specific process, measure the benefit and then decide whether to extend automation to other areas.

02How much does AI automation cost?

It depends on what it needs to do and how many tools it has to connect. Before building anything, we analyse the process, estimate how much time it can save you and give you a clear price. If it doesn’t make financial sense, we’ll tell you.

03Do I have to change the software I already use?

Usually not. We connect the automation to the tools you already use: email, business software, Excel, calendar, databases or other programs. If a program has technical limits, we check this before we start and tell you what options there are.

04What happens if the AI makes a mistake?

The AI doesn’t have to decide everything on its own. At sensitive steps, it can stop, flag anything that doesn’t add up and ask a person to check. During the trial period, we also analyse errors and edge cases to make the automation more and more reliable.

05How do you handle my company’s data?

Before we start, we define which data is used, who can access it, which services or models process it, where it’s stored and for how long. We work in line with the Swiss Federal Act on Data Protection (FADP, nLPD in Italian) and, where applicable, the EU GDPR. Everything is clarified before we build the automation.

06What changes for my team?

Mainly the repetitive work. Less data to copy, fewer manual checks, fewer steps to remember. Your people keep handling customers, exceptions and decisions; the automation takes care of what can be done automatically.

Can’t find your answer? We’ll reply ourselves, usually the same day.
